Hi there,
I’m looking to get confirmation on not losing access to created courses. We currently have 2 Intellum/Evolve accounts which consists of an admin account and then a secondary account. We now no longer have the need for the secondary account. The user on the secondary account will have created some of the courses, but I’m looking to get confirmation that the courses would be stored on an instance rather than a specific account (and also as we would be retaining the administrator account my assumption is there would be no loss). A second question would be if anyone knows if there is a support function to create an offline back-up before we shut the account just in case something did go wrong?
Thanks in advance and apologies if any of the terminology above is incorrect - I’m just trying to sort out the user accounts!
Mike
Hey there Mike,
You are correct - If you remove the second account, the courses and themes they created will be safe within the instance.
To backup your courses somewhere offline, simply go to the course, use the Publish button and select any of the publish modes to publish a zip file and save to your computer. They are easily importable back into Evolve if you need them at a later date, however only into the Legacy Evolve you are using - if you switch to using New Evolve you won’t be able to import them into there.
I hope that helps.
Hi Helen - thanks so much for the very speedy response, that’s amazing and very helpful! Much appreciated.

Hi @MikeC2607 courses in Evolve are stored on the instance so if you delete the secondary account you won’t lose access to any courses created by that account user.
Even if they’ve ‘locked’ a course/theme to their user account this will be handled by the user deletion process - it will automatically ‘unlock’ the course/theme.
If you want to create a backup of any courses - just publish them and save the published .zip files somewhere. It doesn’t matter what publish format you choose.
(one caveat - if you’ve created ‘language versions’ of a course the above backup-via-publish method doesn’t work - if that is the case let me know and I’ll see if I can figure out a solution for you)
